Welcome! TaskOPad is the quickest and most effective approach for you and your team to accomplish outstanding outcomes. This fast start guide will assist you in learning the fundamentals.


# Sign up - Log In Process

To begin, go to www\.taskopad.com and fill out the registration form.

To proceed, you must first register on this page. Fill in the required information, and a verification email will be issued to the email address provided.&#x20;

You must verify the email to proceed to the Login page. After you've entered your login information, you can begin using TaskOPad.(All fields are mandatory.)

# Organization Setup Process:

To begin with, first, you need to create your own company using “Organization Management.”

***Company Creation:*** Create your own Company using the tab “Add New Company”.&#x20;

Enter the necessary details like the Company’s name, address, phone number, email id, and other details, and submit it. (**Mandatory Field:** Company Name)

# Master Setup Creation Process:

After Registering the Company, you need to do the master set-up creation where you will be adding all the details like your internal team members, your clients, member’s role.

# Manage Status

The first step here will be managing the status of your work. Status means the workflow of your Organization.

***Status Creation:*** Click on “Add New Status” to add statuses.&#x20;

For instance, think of a task like a journey. It starts as "pending," moves on to "in-process," then "half-completed," and finally "completed." To keep track, give each stage a name and color so it's easy to see where things are in the process.

# Manage Role

Add the roles of your team members according to the hierarchy level.

***Role Creation:*** Here you need to decide what sets of rights and permissions you want to give according to their designation.&#x20;

For instance, if it's the Manager of your organization, you will give all the rights to add, edit, and delete. But if the person is an employee of your organization, you won't be giving them the right to delete anything. So here you need to decide what rights and permissions you want direct to that designation.

# Manage Members

You need to add all your members from the “Manage Members” Tab.

***Members Creation:*** Click on the right-hand top corner, “Add New Member”.

Enter basic details of your team member and the Email-id here is very important because the team member needs to verify from the mail sent to the Registered Email-Id.&#x20;

(Mandatory fields are Member name, Last name, Email id, and Roles)

Set Reporting to, set roles and we also have an option of directing all the admin rights to your team members.&#x20;

If you don't want to give all admin rights, you can give some rights of Master Setup permission.&#x20;

All the list of members will appear together and you can also edit the details in the future.

**Team Group Functionality** \

You can also create a Group and assign tasks to a whole Group instead of individuals.\
In order to create a group, Click on the Team Group tab and Click on Add New Group from Top Right Corner.

Enter a Group Name and Select the Assignees you want to add to that Group. Click on the Add Group option and Start assigning all your tasks to different teams.&#x20;

# Manage Client

***Client Creation:*** You need to add a new client from the right side top corner **“Add New Client”**. (Mandatory Fields are the Company Name and the Client Name)

Enter the basic details of your clients like Company Name, Client Name, E-mail, Phone number, and Address.

&#x20;You can also attach any files or documents which are related to that particular client. You can also add clients by **Bulk Import Option.**&#x20;

You need to Download the Sample file and Copy-paste the data in the pre-mentioned Excel Sheet and can directly Bulk Upload it.

You can also export all the client information through the **Bulk Export Option.**

# Manage Service

***Service Creation:*** Click on “Add New Service” to add a service.&#x20;

There are two types of services, recurring service, and non-recurring service.&#x20;

1. ***Non-recurring*****&#x20;services** are one-time Services.
2. ***Recurring services*** means a service that is repeated on a frequency basis, which you are providing directly to your client.

***Non-recurring Services:***

For instance, GST Registration is a non-recurring service because it has to be done only once. Add the Service name, select no, and Submit to create a non-recurring service. (All the fields are mandatory here)

***Recurring services:*** For recurring services like GST filing return which has to be repeated monthly, you need to select the frequency, set the due date, and when you want this service to recur.&#x20;

In frequency, You can set custom, daily, weekly, monthly, quarterly, and yearly.

You can also select the client list, after importing them from the “**Add Clients**” tabs.&#x20;

This means this service needs to be performed for these clients and you can also select your internal team members who are going to perform this service for that client. So on the recurring date, a task will be auto-generated on the Dashboard.

# Task


# Task Creation Process

Let's get started with TaskOPad and generate our first tasks. Tasks are the daily work tasks that are to be assigned to respective team members in order to achieve the common goal of the organization.

***Task Dash-Board:*** It consists of Today’s, Overdue and Forthcoming Tasks. To add a new task click on “Add New Task”

This is a list view of tasks where you can look at all today's tasks, all the overdue tasks, and all the upcoming tasks.&#x20;

# Create a Task

To create a new task, simply click on "Add New Task" located in the top right corner. The task creation process involves three fundamental steps:

1. Start by entering the task's name.
2. Specify the due date as the second step.
3. In the third step, you can assign the task to one or more individuals or even to a team or group.

***Adding Project:*** Besides these three steps, you can include a Project name if the task is linked to a specific project.

***Adding Service:*** If the task is part of a particular service, you can specify the service name.

***Adding Client:*** When the task is associated with a client, you can make a selection from the drop-down menu.

***Adding Follower:*** It's also possible to assign a follower. The follower's role is to oversee or supervise the task, even if they are not directly involved in its execution.

# Create Recurring Task

***Adding task as recurring:*** You can also make recurring tasks by selecting the frequency like ( Weekly, Monthly, half quarterly, yearly and Custom) according to your needs so that you don't need to add that task every time.

# Stop Recurring Task

**Step-1**

In order to Stop Recurring tasks, Go to any Recurring task on your screen.

# Create a Subtask

Subtasks can be added to divide work into smaller chunks.

***Adding Subtask:*** You can also add a subtask to the main task, which you can assign to any other individual or multiple, and can also set the Due Date.

# Set Reminders

***Setting Reminders:*** You can also set reminders for any task according to the date, time, and frequency you select.

# Task Status

***Updating Status:*** Once you assign a task You or your team member can change the status which will help you know that the task is in which stage.

# Task Priority

***Updating Priority:*** You can also attach any files or documents related to this task and you can also set the priority for any task. Priorities are High (red flag), Medium (Green flag), and low (Yellow flag).

# Task Attachement

You can also attach any relevant documents and files to the task so that your team member may refer to them while working on it.

# Task Follower

Add people as followers to an ongoing assignment to keep them in loop.

***Adding Follower:*** You can also set a follower. The follower will be the person, not working on this task but monitoring or supervising the task.

# Task Comment

***Comment Area:*** You can also communicate with your team members in this task using the comment section and you can also share any files or documents from common.

# Task Log Activity

***Log Activity Area:*** All the changes made in this particular task will be viewed in the “Log Activity”

# Task Mark as Completed

***Mark as Completed:*** Once the task is completed, it can be “Marked As Completed” from the circle button on the left side corner beside the task.

# Bulk Edit , Delete & Recycle Bin Process

TaskOPad also offer this feature where you can edit all the task in bulk and also delete unnecessary task at one go.

***Bulk Edit:***  If you want to alter the same thing in a task at the same time, rather than doing it one at a time, you may utilize our Bulk edit option, which allows you to make many changes at once.

For Instance: If you want to change the assignee for numerous tasks at once rather than one at a time, go to Bulk edit and choose the task you want to change the assignee for, then select another assignee to whom all the tasks should be assigned, and then submit. As a result, all of the tasks will be immediately assigned to that new assignee.

***Bulk Delete:*** Bulk Delete functionality enables members to efficiently delete tasks in larger quantities, eliminating the need to delete them individually. The process involves accessing Bulk Edit, selecting the desired tasks, and then clicking on the delete option to remove them in batches.

Deleted tasks will be visible in the Recycle Bin for a period of 30 days. During this time, you have the option to restore them. After the 30-day period, the deleted tasks will be permanently removed.

# Bulk Import& Bulk Export

***Bulk Import:*** To make the procedure go more smoothly, we've added a new feature called Bulk upload from Excel. It comes in handy when you have a large number of tasks to create in TaskOPad with a single click.

To make a bulk upload, go to Task Feature and choose Bulk Upload from the three-dot buttons ![](/files/ARSKK2pNy6VNw0JDipwc)

Simply download the sample CSV file, combine all of the tasks into a CSV file, and then choose the file to upload the data. It will save your time, and you will be able to establish all of your monthly, weekly, and daily task objectives using it.

***Bulk Export:*** TaskOPad can assist you to export your entire required task in excel so that you can keep records of your data and refer to the same for decision making later on. As a result, you can easily keep your tasks organized.

To export all the task at one go , go to Task Feature and choose Export Task from the three dot buttons ![](/files/ARSKK2pNy6VNw0JDipwc)

You'll be able to export all of your tasks with or without comments in CSV file.&#x20;

It will be beneficial to retain a backup of all tasks on an excel sheet.


# Quick Reply

***Quick Reply:*** TaskOPad Introduce quick reply which is a predefined message that you can quickly select, edit, and send to the Team. You’ll save time by responding quickly. It’s also possible to create shortcuts for quick replies with this feature. Users can simply write ‘/’ in a conversation after selecting the message to send from the listing, accordingly, they can post into the comment section, Task name, and everywhere in the Text area.

To begin with, you need to go to Task Management Feature and click on ![](/files/vh9HRaMiMogWFrmLSNmk)and from the Drop-Down select Quick Reply.

After clicking on that you can create multiple quick replies by giving the title and the message.

To save time while sending a brief message, use the / symbol in the Task, Task Description, and Text section.

This is how all rapid responses will look as suggestions, with the title and whole message. Instead of typing the entire message, it's a form of shortcut.


# Completion of Task in %

Completion of task will help you to see the progress of the task in form of percentage.

***How to enable % completion of the task:***

Go to the settings menu from the master setup creation page.

Click on General setting and Select **Yes** to enable the feature % completion of the task.

***How to change the % of task:*** Now go to task and change the % from the top so that the creator of the task will get to know about the **Progress** of the task.

You can also Customize the task list to view the Progress in the form of a percentage (%) on the dashboard itself.

***Filter & Sort:*** You can also filter from the top according to the number of percentages you want to see. It can be selected on multiple bases as well.

# Checklist

Checklist a list of items required, things to be done, or points to be considered, used as a reminder.

There are many good reasons to use a checklist template for your work tasks The apparent advantage is that everything is laid out in a clear and transparent manner. Everyone knows what they need to do at any given point during a task or Project. It also enables you to finish larger tasks and projects on schedule.

To begin with, the first step you need to do is go onto Organization Management, then click on the specific company and go to the settings menu from the top corner.

Here you will have the Option to Enable the checklist.

To make your own template, select "Add Template." This allows you to create several templates for different tasks, which you can use whenever you need them.

So, this is how you can add a checklist and it can be shared with your team members as well.

Now, Let's go to Task, You will select the checklist that you want to import and you will have the option to import the checklist in sub-task as well . You will also have the option to create your own add-on checklist manually as well.

Also, you can make checklists mandatory from here so that the person will not be able to mark the task as completed unless and until he has not completed the checklist.

# Mark Task for Approvals

After a task is finished, approval from the owner, reporting manager, or task creator is required. This functionality streamlines the process of marking tasks as approved and allows users to easily view all tasks that have received approval.

To activate the 'mark as approval' feature, navigate to the settings menu within Organization Management. Select the specific company where you need to enable this feature, then access the settings menu and choose "Mark as Approval Permission."

Once the feature is enabled, you can choose who will review tasks under the Permission tab, offering five options for task review, allowing multiple selections:

* Owner
* Admin Rights
* Reporting to Person
* Follower
* Task creator

After selecting these permissions, choose the user authorized to mark tasks for approval and click 'Submit'. Once this setup is complete, the team member granted permission to mark tasks for approval must seek approval from the selected permission group every time they mark a task for review.

For instance, let's consider an example: I've granted Aneri Jain permission to mark tasks for approval. When I access Aneri's account, upon her completion of a task, it will display under the "Mark Under Review" tab instead of being marked as completed directly.

Upon submission for review, the selected Owner and Task creator under the permission tab will receive a notification.

Subsequently, the authorized individual will assess the task and make the decision to either REJECT or APPROVE it.

Upon approval, the task will be automatically categorized under the "CLOSED" status. In the event of rejection, Aneri Jain will receive a notification informing her that the task has been rejected.

Additionally, we have implemented two filters to display the status of tasks sent for review or tasks received for review. These filters enable you to track tasks sent by you for review to an authorized person and identify tasks sent to you by others for your review.

# Draft Tasks

Draft Tasks allow users to create and save tasks even when all details are not yet finalized. This feature is useful when you want to quickly capture a task idea without deciding key elements like assignee or due date.

In task management, capturing work quickly is important to ensure nothing is missed or forgotten. Draft Tasks help you do exactly that - capture first, define later.

You can create a task by simply entering the name and saving it as a draft. Later, whenever needed, you can add all the necessary details and then submit the task.

All draft tasks will be available in a separate tab called **“Draft Tasks,”** where you can view and manage every task saved as a draft.

There is also an option to **Import draft tasks in bulk**, as well as **Delete Multiple draft tasks at once**.

# Kanban Board

It will aid in the display of all tasks that are assigned to different statuses and pipelines. You may design numerous pipelines for various workflows and see tasks in a Board View.

***Kanban Board View:*** To view KanBan Board, click the on button on top.

***Initial Setup for Kanban:*** You will have a blank Dashboard. To add a new pipeline, click on the “Settings” button, and then click on “Add New Pipeline”

***Creating Pipeline:*** Add a name to the Pipeline, For instance, if it’s a sales pipeline, add the stages which fall under the Sales pipeline.

Like this, you can create numerous pipelines with different workflows and you will have your own Board view of these pipelines.

To see these pipelines,  click on “Select pipeline” at the top of the page. You can select which pipeline you want to view. You can also make any pipeline favorite which will help you visualize that pipeline only, whenever you open Kanban Board View.

&#x20;***Updating Task Status:*** Through these pipelines, you can directly drag and drop the tasks, to change the status and can see how many tasks fall under that particular work status.

# Calendar View

TaskOPad also has a calendar view, which will show you all the tasks you have in a month.

***Calendar View:*** To view the calendar, click the on button on top.

***Calendar Views:*** You can see the calendar Monthly, Weekly & Day wise.

You can switch between different views in the Dot view by adjusting the settings from the menu.

# Workflow Management

In TaskOPad, **Workflow Management** is a feature that allows you to create, customize, and automate a sequence of tasks or processes, ensuring work moves smoothly from one stage to another. It helps define clear steps, assign responsibilities, track progress visually, and maintain accountability, enabling teams to streamline operations, avoid delays, and improve overall efficiency.

To start using Workflow Management in TaskOPad, go to the Task List, click the three dots menu, and select Workflow Management.

**You will see two main options:**

1. Task to Task
2. Task to Subtask

**Under Task to Task, there are two workflow types:**

* On Status
* Day Gap

**1. On Status**

The On Status workflow allows you to create templates that trigger task generation based on the status change of a main task.

**Steps to create an On Status template:**

1. Click Add Template.

2. Select the Main Task Status — this is the status that will trigger the workflow.
3. Set the Template Task Status — this will be applied to the tasks generated from the template.

4. Add tasks in the template with their Start Date, End Date, Predefined Assignee/Department, and Followers.

**Example:**

* Create a template called Process of Manufacture – 100 Qty.
* Set Main Task Status to In Progress.
* Set Template Task Status to Closed.
* In the template, add the first process: Collection of Raw Material, with start and end dates, and assign it to a predefined department or person.
* Add the second process: Fabric Dye – 100 Meter, with its own dates and assignments.

How it works:

* When the main task’s status changes i.e Process of Manufacture – 100 Qty to In Progress, the Collection of Raw Material task is automatically generated.
* Once that task is Closed, the Fabric Dye – 100 Meter task is generated automatically.
* This sequence continues for all processes defined in the template, ensuring the entire workflow runs automatically in the right order.

**2. Day Gap**

The Day Gap workflow allows you to create templates where each task in the process is generated after a fixed number of days from the start of the previous task.

**Steps to create a Day Gap template:**

1. Click Add Template.

2. Add the first process task with its Day Gap, Start Date, End Date, Predefined Assignee/Department, and Followers.

* Create a template called Order Fulfilment Process.
* Created the main task today. Based on the created date, the Order Confirmation task has a gap of 1 day, so it will be generated tomorrow.
* First process: *Order Confirmation* — Day Gap: 1, with start and end dates, assigned to the Sales team.
* Second process: *Packaging* — Gap of 2 days after the Order Confirmation task starts, assigned to the Operations team.
* Third process: *Dispatch* — Gap of 1 day after the Packaging task starts, assigned to the Logistics team.

* When you create the main task, the first process task will be generated based on the number of day gaps set in the template for Order Confirmation.
* Once the Order Confirmation task starts, TaskOPad waits for 2 days (as per the gap) and then automatically generates the Packaging task.
* 1 day after Packaging starts, the Dispatch task is generated automatically.

Under Task to Subtask, there are two workflow types:

* Day Gap

The **Task to Subtask – On Status** workflow allows you to automatically generate subtasks under a main task whenever the main task’s status changes to a specific value. This is useful when a single main task contains multiple smaller steps that should be triggered based on its progress.

**Steps to create an On Status template:**

1\.      Click **Add Template**.

2\.      Select the **Main Task Status** — this is the status change that will trigger subtask generation.

3\.      Select the **Subtask Status** — this will be the default status for the generated subtasks.

4\.      Add the subtasks you want to generate, each with their **Start Date**, **End Date**, and **Predefined Assignee/Department**.

·         Create a template called **Website Development – Design Phase**.

·         Set **Main Task Status** to **In Progress**.

·         Set **Subtask Status** to **Finalization**.

1\.      *UI Wireframe Creation* – Start Date: Day 0, End Date: Day 2, assigned to the Design team.

2\.      *UI Review & Approval* – Start Date: Day 3, End Date: Day 4, assigned to the Project Manager.

**How it works:**

·  When the **Website Development** main task’s status changes to **In Progress**, TaskOPad automatically generates the defined subtasks with the assigned dates and team members.

·  Each subtask can then be worked on independently while staying linked to the main task.

**2. Day Gap**

The Day Gap workflow allows you to create templates where each subtask in the process is generated after a fixed number of days from the start of the main task.

* Create the main task today. Based on the created date, the Collect Documents subtask has a gap of 1 days, so it will be generated next day.
* First subtask: Collect Documents — Day Gap: 1, with start and end dates, assigned to HR.
* Second subtask: System Setup — Gap of 2 days after the main task starts, assigned to the IT team.
* Third subtask: Team Introduction — Gap of 5 days after the main task starts, assigned to the Reporting Manager.

**Note:** Once templates are created, you can also share them with your team members.

Once you have created templates, you can apply them directly while creating a task.

To do this, go to the Task List, select template while creating task, click on the three dots menu. From there, choose Import Template and select template. Please note that you can select only one template at a time and only while creating Task.

After importing the template, you will also see the option to add a Prefix or Suffix to the task names. These will automatically appear on both the main task and all related tasks generated from the template. Once the task is submitted, you can open it and view the Workflow tab, which lists all processes defined in the template.

Based on the selected template type, the linked tasks or subtasks will be generated automatically as predefined Start Date and End Date.

Additionally, there is a manual override option — if you need to trigger any process immediately (for example, in case of an urgent requirement), you can simply check the box next to the desired process in the workflow and manually generate that task.

# Department Wise Task

**Department-wise Task Bifurcation** in TaskOPad is a feature that enables you to organize and distribute tasks according to different departments, ensuring work is clearly allocated to the right teams. It helps define responsibilities for each department, streamline coordination, track progress department-wise, and maintain accountability, allowing organizations to manage operations efficiently, reduce confusion, and ensure timely completion of work.

To start using **Department** in TaskOPad, go to **Organisation Management**, select the created company, then navigate to **Members**, where you will find the **Department** option.

Click on **Department**, then in the top-right corner select **Add Department**. Enter the **Department Name**, add the **Department Members**, and finally assign the **Department Head**.

A **Departments** section will also be available on the left-side panel of TaskOPad (where all features are listed). By navigating to this section, you can view the bifurcation of tasks assigned to each department.

# Project Creation Process

TaskOPad offers project features that allow you to invite a third-party vendor to collaborate with you, as well as the ability to create an infinite number of internal projects with your team.

***Project Dashboard:*** This will provide a comprehensive summary of the project's progress, including the number of completed tasks, overdue tasks, and upcoming tasks. This overview will facilitate understanding whether the project is on track for timely completion or nearing its conclusion.

# Create Project

***Adding Project:*** To create a new project, locate and click on "Add New Project" at the top right corner of the interface. You'll be prompted to input essential details such as the project name, description, start date, end date, and the option to associate the project with a client, which is not mandatory if it's not applicable.

Furthermore, you have the option to include **third-party** email addresses for collaboration. These third-party vendors could be external companies or contractors working towards the common goals of the company.

Subsequently, you'll need to enlist the team members who will be involved in this project. Finally, designate a Project Admin, similar to a supervisor overseeing the project's progress

You have the capability to delegate tasks to either third-party vendors or internal team members within the projects. This allows for the distribution of tasks across different projects.

# Discussion

Discussion means a one-to-one conversation or a group chat within your team members eliminating the need to switch different applications for internal communication.

In the discussion section, you have the choice to either engage in individual chats with team members or create group conversations to interact collectively.

To initiate communication, you have the ability to send messages, share files, and even send audio notes directly. Within the mobile application, additional options are available, allowing you to share live locations, mobile contacts, and various other features.

Within the discussion feature, you have the ability to search for specific messages. You can opt for a global search that encompasses members, groups, and messages, or you can navigate to individual chats to search for particular messages within those specific conversations.

# DMS (Document Management System)

A **Documents Management System (DMS)** is a centralized platform where all shared or received documents related to tasks, discussions, projects, or client attachments can be found. It includes default folders for tasks, projects, and discussions to organize the documents efficiently.

Within the DMS Dashboard, the left panel features "My Folders" (containing files or documents shared by you) and "Shared with Me" (housing files or documents shared with you by internal team members)Recent, Favourites, Bin, and My team. Details such as the file owner, last modification date, and file size are also visible.&#x20;

To create a new folder or Files in **DMS,** aside from the default folders, you have the option to establish custom folders or files related to your work and share them with internal team members. Simply click on "Add File or Folder" at the top right corner to add a folder. You can either directly share files or documents or create folders as needed.

Report connects with data sources, gather information and provide insights in the form of graphs and charts based on the input data so the user can find useful information.

The next feature is Reports. There are  **Six  types of Reports:**

***User-Wise Report -*** User-wise report will help you to know how many tasks fall under every assignee with the status of the task.

***User-Wise Performance Report -*** User-wise Performance report will help you to know how many tasks are delayed or done on time or done before time individually.

***Project Wise Report-*** The project-Wise report will give you the summary of all the projects you have and will also calculate the progress of the individual project.

***Status Wise Report:-*** This will help you to know how many tasks fall under that status in percentage.

This will give you the report of the variance between actual hours and estimated hours of the task

Time-Sheet Report which will give you the performance report of each team member with their time variance. From these reports, you can calculate whether the team member performed a task on time, before time, or overtime. To get the Time-Sheet report Select the users and the date range.

Here you will first get the variance report and then the summary of all the tasks with their variance. From this, you will get to know whether the team members were on time or before time.

# Time Report

Time tracking is the process of monitoring and recording how a Team can spend time on different tasks and projects. It allows you to identify where your team spends time, and how it can used more effectively to achieve individual goals. So, the Time Report will give you the performance report of each team member with their time variance. From these reports, you can calculate whether the team member has spent Working Hours or spent extra on Monthly weekly, or any other Frequency.

To access these reports, navigate to the left panel and click on Reports, then select Time Report.&#x20;

Upon entering the report section, you'll find personalized profiles for each team member displayed.

To access details regarding each team member's total working hours, actual hours worked, and any variances for the current month, you can select the Time Report option on the page.

# Time-Sheet

Timesheet feature that will help you to set the estimated time to complete the task and you can actually calculate the time taken to complete that particular task by your team member.

The timesheet will show you the estimated hours and actual hours of your tasks. Time Sheet Dash-Board will consist of the weekly, yesterday’s, and today's timesheet. The time entry you put in tasks will automatically be synced here.

***Add Working Hours Setup:*** Here you need to set up your weekly working days  Hours so that while adding estimated hours it will help you to calculate depending upon the weekly working Hours.

> For instance, A task has been assigned with Start Date  ***22-11-12 i.e. Tuesday*** and End date of task is kept on ***27-12-21 i.e. Monday***. So, **Estimated hours** will be counted as **45 Hours** based on your weekly working hours.

Once you establish the weekly working hours, a corresponding calendar will display the monthly work hours allocated to each day based on these hours.&#x20;

Additionally, there is an option available to designate specific days as holidays or non-working days.

**Calculation of Actual process:** To calculate the actual hours of your team members on any particular task will be through:

**We have two processes (Manual and Automatic)**&#x20;

***1)*** ***Manual**:* It will allow your team members to manually enter the time they worked on any particular task.&#x20;

***2)Automatic***: There is a picker button option, the moment they start the picker, the Software will automatically calculate the time.&#x20;

***Freeze Data Concept:*** We also have a freeze data process which means you can freeze the timesheet entry of past days as per your frequency added.


# Adding Estimated Hours

***How to add Estimated Hours in Task:***  You can set a start date and an end date for the task, letting the team know when it needs to start and finish. When you also set the specific start and end times, the system will calculate the estimated hours based on your predetermined working hours.

# Actual Hours Entry in Task

Automatic entry and Manual entry:

***1) How to add Automatic Entry:*** Team members can initiate the picker button to begin working on a task they want to automatically log.&#x20;

When the task is finished, stopping the picker button will update the Time Log Tab accordingly.

***2) How to add Manual Entry:*** If a team member wishes to make a manual entry, they can access the **"+ Time Log"** feature within the Time Log section.

***At this point, two choices are available:*** The Team Member can either input the **Start Time and End Time** or directly specify the **Actual hours** worked, reflecting the precise duration for a particular task.

This means each team member tells when they started and stopped working. The picture below shows how to write these times.&#x20;

You can also write notes when adding a task to give information to your Senior.

***(B) Direct  Actual Hours Entry:*** Here, a Team Member can directly specify how many hours that person has worked on a specific Task. The Image below depicts how to enter actual hours in the task.

# Actual Hours Entry in Timesheet

hoursIn addition to entering data from Task, you may also add entries from Timesheet. The entries made from the task will be synchronized so that whatever entries are made in the task will display straight in the timesheet.

***There are two tabs here:*** Time Entry and Pending & Approval.

**Time Entry in Timesheet**:  Here we have the option of ***" + TIME LOG"***  from which you can select the task name of which you want to do the time entry, You can select the date, start time-end time, and a note regarding this particular task.\`

Your recorded time will automatically link to the tasks and count toward the total hours worked for the day. You can choose to enter the time you started and finished or simply note the actual hours you spent on the task.

***Here, you can also do the time entry for Idle or Other work.***&#x20;

***1) Idle Entry:***  Here if you don't have any task to do and you are sitting idle then you might specify the times so that your superior is aware that you had no task during that time period. You can add notes as well.

***2) Other Work Entry:*** Rather than your task you have some other work to do in a day you can mention that in the timesheet as well.

**For instance:** You had a meeting in between your tasks, and you want to notify your immediate superior about the time taken in that meeting. In that case, you can add that time entry in Others.

To add the time entry, click on ***" + TIME LOG"*** and then click on Others. You can add the start time and end time and can write a note about this meeting.

***Delete Entry***: And this is how all the entries will be presented on the Timesheet Dashboard, if you have made an entry by mistake, we also have the opportunity to Delete to make the corrections before submitting the Timesheet to your superior.


# Submitting Timesheet Process

***How to Submit Timesheet:*** By the end of the day, Team members can submit daily timesheets to the superior by clicking on the <mark style="color:green;">**Green Button**</mark>**.** Timesheets should be submitted for approval or rejection.&#x20;

**The timesheet needs to be submitted by the end of the day only because once the timesheet is submitted, it can’t be edited for that particular day.**

While Submitting the Timesheet you will have the option to mention the notes or any information to your superior. The below image will show the Notes kept while submitting the timesheet.

Once the Timesheet has been submitted it will be sent for **Approval and Rejection Process** where the superior will decide whether this timesheet should get Approved or Rejected.


# Approval & Rejection Process

Superior will decide about the timesheet which has been submitted by team members should get Approval or Rejection.

Once the Team Member has submitted his Timesheet the superior will receive it in the Pending & Approval Tab.

***Detailed Information:*** We also give an option where Superior can check the entries in Detailed through Info <mark style="color:blue;">**( i )**</mark>**&#x20;Button.**

Now Superior will approve and Reject the timesheet, so there are two icons given from where it can be done.


# Filter & Sort

From the Pending & Approval Page, you can also filter via Dates and Users so that in the future if you want to look total of how many hours a particular team member has worked on a Monthly, weekly, or Yearly basis on a particular task you can directly get it from here.

The timesheets that have been either approved or rejected, along with all the date filters, will be displayed similarly to the image above.


# Attendance Configuration

Attendance configuration in HRMS allows  to set up  attendance policies for ourorganization. This includes defining work hours, holidays, and locations ensure accurate attendance tracking.

**Follow these steps to configure attendance settings effectively:**

**Step 1:** Navigate to Attendance Configuration:\
Log in to TaskOPad, go to the **Organization Management** section, and select the company for which you want to enable the attendance system. Click on the **Settings** menu in the top-right corner, then open the **Attendance Configuration** tab. Finally, turn on the toggle button to activate the attendance system for the selected company.

**Step 2: Employee Permissions**\
In the **Employee Permission** tab, select the users who will have access to the attendance system. Use the checkboxes next to each employee's name to grant or deny attendance access. Once done, click **Save**.

**Step 3: Register Faces**\
Navigate to the **Register Faces** tab to upload pictures of employees who have attendance permissions. This feature allows facial recognition for seamless check-in and check-out processes.

**Step 4: Set Location and Radius**\
Use the **Set Location & Radius** tab to define check-in and check-out locations.

* Add multiple locations as required.
* Specify the radius within which employees can mark their attendance.
* You can exclude specific users from the location restriction if needed.

**Step 5: Calendar Setup**\
Go to the **Calendar** tab to configure work timings for each day of the week.

* Define total working hours per day, which will be used to calculate check-in and check-out compliance.
* Add organizational holidays by clicking the **Add Holiday** button.

**Step 6: Regularization Approval**\
Open the **Regularization Approval** tab to manage permissions for attendance regularization.

* Define who can regularize check-ins and check-outs for employees.
* This feature is useful for scenarios where employees forget to mark their attendance, allowing their superior to make the necessary adjustments.

After completing the configuration of the settings menu, proceed to the dashboard.

**Check-In From the Dashboard:**

* **Access the Dashboard**:\
  After logging into your TaskOPad account, you'll land on the **Dashboard**.
* **Locate the Check-In Button**:
  * The **Check-In** button is at the top-right corner.
  * It will display your current check-in status.
* **Click Check-In**:
  * When you click the button, your attendance will be logged for the day.
* **Verify Your Status**:

  * Visit the **Attendance** section from the sidebar to confirm your check-in details.

  ( **Note**: If your company uses location or face recognition for attendance, ensure the necessary permissions (like location access) are enabled.)

After Check- In  go to **Attendance** from the sidebar.

* There are three tabs i.e. My attendance Tab, Team Attendance & Regularization

  * **Check-In/Check-Out**: View your recorded timings.
  * **Working Hours**: Total expected hours.

  * **Status**: Displays your current status (Present, Absent, Holiday, Manual, etc.).
  * **Location:** Displays the checkin and checkout locations.

  These will help you to accurately track your hours worked for a specific day and view attendance records on a **weekly**, **monthly**, or **custom date range** basis.

The **My Attendance** records also include a table view, allowing you to view the data in a tabular format for easy reference.

This allows you to filter the status, for example, if you want to view your total present, absent, holiday, and weekend status.

Under the **Team Attendance Tab** (For Managers)

* Navigate to **Attendance** > **Team Attendance**.
* A list of employees will appear.
* Click the **Eye icon** next to an employee's name to view detailed attendance.

After clicking on eye you can view the team members working under you or reporting to you, where everyone's check-in and check-out times will be visible, making it easier to track the team's working hours.

Regularization is basically useful when you forget to check in or check out, use the Regularization feature to correct your attendance records.

  * **Select Member**: Choose the member whose attendance you want to regularize.
  * **Select Date**: Specify the date along with the start and end times for regularization.
  * **Reason**: Provide the reason for the regularization.

# Leave Configuration

The Leave Configuration feature in HRMS allows organizations to define and manage leave policies effectively. Follow the steps below to set up leave management:

**Follow these steps to configure Leave settings effectively:**

**Step 1: Access Leave Configuration Settings**

Log in to HRMS and navigate to the **Organization Management** section. Select the company for which you want to configure leave settings. Click on the **Settings** menu and open the **Leave Configuration** tab. Turn on the toggle button to activate the leave system.

* Add leave balances for employees transitioning to HRMS from another system.

After completing the configuration of the settings menu:

**Access the Leave Module**:\
From the sidebar, click on **Leave** to open the leave module.

There are four tabs My leave, Team leave, Pending & Approval & Leave Regularization.

Your leave balance will be displayed at the top of the page, categorized by leave types (e.g., Sick Leave, Casual Leave, etc.). Additionally, it will show your upcoming leaves and leave history, making it easier to track your balance.

There is also a filter option that allows you to view your leave status, showing how much leave has been approved, is still pending, or has been rejected or canceled.

You can also apply date filters to view your leave data within specific time periods.

**Apply for Leave**:

* Click on the **+ Apply Leave** button at the top-right corner of the page.
* Fill in the following details in the leave application form:
  * **Leave Type**: Choose from available options (e.g., Sick Leave, Annual Leave, etc.).
  * **From Date** and **To Date**: Select the date range for your leave.
  * **Reason**: Provide a reason for the leave.
  * **Attachment (Optional)**: Upload supporting documents if required (e.g., medical certificates).

Click **Submit** to send your leave application for approval. You’ll receive a notification about the status once your manager reviews it.

**Tip**: Ensure you’ve checked your available leave balance before applying.

**Note:** If the **Sandwich Leave Configuration** is enabled, leave deductions will be calculated according to the policy.

Under the **Team Leave Tab** (For Managers)

* Navigate to **Leave**> **Team Leave.**
* A list of employees will appear with their total remaining leave balance, allowing managers to view the cumulative leave of each individual.
* Click the **Eye icon** next to an employee's name to view detailed attendance.

After clicking on eye you can view the team members working under you or reporting to you, where everyone's leave taken or has been credited through reularization will be visible, making it easier to track the team's leave status.

**Under the** **Pending & Approval Leave  (For Managers) :**

1. You’ll see a list of pending leave requests from your team.
2. **Review Details**:
   * Click on a request to view details, including the reason and any supporting documents.

   * Use the **Approve** or **Reject** buttons to take action.
   * Add comments (optional) for clarification.

Under the **Leave Regularization Tab:**

Leave regularization allows you to adjust leave balances by either crediting or deducting leave. Here’s a step-by-step guide for both actions:

To credit leave to an employee’s account:

1. **Navigate to Attendance > Regularization**:\

   * **Select Leave Action:** Credit or Deduct
   * **Select Member**: Choose the employee whose leave balance needs to be credited.
   * **Leave Type**: Select the type of leave being credited (e.g., Sick Leave, Casual Leave, etc.).\\
   * **Leave Count:**&#x45;nter the frequency of leaves to be credited.
   * **Reason**: Provide a reason for crediting the leave (e.g., compensatory off, special leave, etc.).
4. After reviewing the details, approve the leave regularization to credit the leave to the employee’s balance.
5. &#x20;After regularization, the employee’s will receive notification for the same and leave balance will automatically update, reflecting the credit.

**2. Deduct Leave**

To deduct leave from an employee’s account:

1. **Navigate to Attendance > Regularization**:\
   Go to the regularization section in the attendance management area.
2. **Click the + Regularization Button**:\
   Start a new regularization request.
3. **Fill in Details**:
   * **Select Leave Action:** Credit or Deduct
   * **Select Member**: Choose the employee whose leave balance needs to be deducted.
   * **Leave Type**: Select the type of leave from which the deduction is being made.
   * **Select Date**: Choose the date for which leave needs to be deducted.
   * **Reason**: Mention the reason for deducting the leave (e.g., absence without approval, incorrect attendance record).
4. **Approve Regularization**:\
   After verifying the details, approve the leave regularization to deduct the leave from the employee’s balance.
5. &#x20;After regularization, the employee’s will receive notification for the same and leave balance will automatically update, reflecting the deduction.

# Custom Fields In Task

TaskOPad introduces a new feature Custom Field. It enables the project managers to add custom fields to their tasks. All you get is a whole new world of possibilities with customization. Custom fields include Date, Number, Text, and Multiple Select from a dropdown list, etc. Once you add a custom field, it will appear on all your tasks and projects. It will help you increase the efficiency and productivity of your team.

To begin, create a custom Field. You must go to Organization Management and choose the firm that you have formed, then select the settings option.

# How Custom Fields Work?

Custom fields work just like the Add-on fields that come out of the box on task. The one difference is that you have to create a custom field first, after that it will show up on a Task. Fortunately, that’s really easy to do by clicking the “***Custom Fields***”. That new “Custom Fields” will take you to a Popup page where you can view all of your custom fields and create new ones.

***There are several types of custom fields. Here's how they work:***&#x20;

1. ***Text:*** Can contain any characters.&#x20;
2. ***Text Area:*** Can contain Description of Label&#x20;
3. ***Number:*** Can only contain numbers, and can be simply numbers. When you create the number field, you can choose your Different types like Decimal, Percentage, and Auto number in Tasks.&#x20;
4. ***Currency:*** Can contain different Currency with their symbols. Date: Can only contain a date. Type it in yourself or choose from a calendar.&#x20;
5. ***Email:*** Can contain email IDs. Phone: Can contain multiple phone numbers with different country codes.
6. &#x20;***URL:*** Can contain different URLs.&#x20;
7. ***Checklist***: a drop-down list of multiple or single options that can include any Data. You can drag and drop options to change their order.&#x20;
8. ***Radio:*** You can create two options and one can be selected like Yes or No as an option.

**Add Custom Field from the drop-down menu:**

***Field Type:*** Name the field Select a field type.&#x20;

**Mandatory*****:*** Then decide whether or not this field is required.&#x20;

***Filter & Custom Filed:*** Then decide whether or not you want this field to be filtered or if you want to include a custom field.&#x20;

***All in Task**:* We provide you the option of selecting the date from which you want this custom field to appear on the task page.

***So, let's look at an example:***&#x20;

I want to know whether a task is billable or not on the Task Page, thus I named the label Billable and chose Radio as the field type. Under the Radio choices, I've picked ***Yes or No***, and this field will be available on the task page from November 1st.

# Custom Field In Client

TaskOPad introduces a full customization add-on field for saving more information about clients. You can add a client's contact card in the comment area and get all the necessary information about the client from task details anytime. It is easy to share and exchange the client information at once with the client custom field add-on.

To begin, create a custom Field. You must go to Organization Management and choose the firm that you have formed, then select the settings option.

The option to allow Custom fields in the client is available here. From the bottom, choose Add custom field:

# How Custom Fields Work?

Custom fields work just like the Add-on fields that come out of the box in Manage Client Module. The one difference is that you have to create a custom field first, after that it will show up on a Client Module. Fortunately, that’s really easy to do by clicking the “***Custom Fields***”. That new “Custom Fields” will take you to a Popup page where you can view all of your custom fields and create new ones.

***Here are several types of custom fields. Here's how they work:***&#x20;

1. ***Text:*** Can contain any characters.&#x20;
2. ***Text Area:*** Can contain Description of Label&#x20;
3. ***Number:*** Can only contain numbers, and can either be simply numbers. When you create the number field, you can choose your Different type like Decimal, Percentage and Auto number in Tasks.&#x20;
4. ***Currency:*** Can contain different Currency with their symbols. Date: Can only contain a date. Type it in yourself or choose from a calendar.&#x20;
5. ***Email:*** Can contain email ids. Phone: Can contain multiple phone numbers with different country code.
6. &#x20;***URL:*** Can contain different URLs.&#x20;
7. ***Checklist***: a drop-down list of multiple or single options that can include any Data. You can drag and drop options to change their order.&#x20;
8. ***Radio:*** You can create two options and one can be selected like Yes or No as an option.

**Add Custom Field from the drop-down menu:**

***Field Type:*** Name the field Select a field type.&#x20;

**Mandatory*****:*** Then decide whether or not this field is required.&#x20;

***So, let's look at an example:***&#x20;

I want to add the GST numbers for all of my clients. As a result, I will designate the label as the GST number and add a Text box to the Field Type so that I can enter the GST numbers for each client.

So, this is how in the Client Module Page it will fall under the Add on fields Tab, and also as we have kept it mandatory so while creating the client this field will be mandatory.

# Client Information Sharing

You have the option to include a client's contact card in the comment section, ensuring all essential client details are readily available in the task information. Facilitate seamless sharing and exchange of client information using the client custom field add-on.

Access this feature by navigating to the Organization Management settings, selecting General Settings, and specifying the team with whom you wish to share client information.

After granting appropriate permissions during task creation and associating a client with it, you can effortlessly review all relevant information related to that specific client.

From the **"Information"** button you can get all the details of clients.

You have the flexibility to copy and share these details in any "Text Area," making it convenient to retrieve client information directly from the task.&#x20;

Additionally, client details can be shared via the Client Contact Card in the comment section, allowing for a streamlined communication process. Furthermore, the versatility extends to sharing multiple client information through the contact card.

# Email Integration

To set up Email Configuration and integration, follow these steps:

1. Access the Company created in Organization Management.
2. Select the specific Company for which you want to integrate your personal email.
3. Navigate to the Settings Menu located in the top right corner.

Proceed to the Email configuration section and click on the option labeled "Add New Email" to initiate the process of integrating your email within the portal.

Here you can integrate all kinds of emails. For example from your Gmail account to your personal Domain Accounts.\
There are different processes for all kinds of Emails to be configured.

First We will have a look at how to configure the Gmail account in TaskOPad.

Select the Domain **“Gmail.com”** in the option Custom Email Configuration. Enter your email ID but the password here will not be your general Email password. In order to generate this password, you need to follow the below-mentioned steps from your Email Settings.&#x20;

Go to the Settings Menu in Your Gmail Account. Enable IMAP from Forwarding and POP/IMAP.&#x20;

Go to App Password. It will ask you to again enter your Password.

In the Option Select the app and device- Select “Other (Custom name) and Write TaskOPad.

Enter the Generated Password in the TaskOPad portal.

Wait for a while till the Status gets updated from “**In progress” to “Active**”.

You can also set permissions for your team members for them to have access to your emails for generating tasks.&#x20;

Here are the following steps to activate and Configure Personal Domain Accounts.\
When you want to integrate a personal domain then you don't need to select any Custom Field.

Enter the email ID and Password. Generate the IMAP Address and Port Number from your domain from the Settings menu and Enter them in TaskOPad and Your account will be integrated.

After Activating your Email account in TaskOPad, you can start assigning tasks even from your Emails.\
In order to create tasks, you need to follow the below-mentioned steps.

**Step-1**

Go to **Email Management**. Select the Company in which you have integrated your emails. Your emails will be synced to TaskOPad every 15 minutes.<br>

**Step-2**

Choose the emails you wish to transform into tasks. The email subject will serve as the task name, and the email body will be utilized as the task description. If an email contains attachments, they will be automatically included with the task. **Optionally, you can also choose to remove attachments.**

Provide a due date and assignee name. After submission, the task will be generated, and if it originates from an email, a mail icon will appear next to the task name.

# Enable or Disable Email Notifications.

To customize your email and notification preferences, you can enable or disable them based on your needs. Here are the steps to follow:

Step 1: Navigate to the Company created in Organization Management.

Step 2: Access the Settings Menu and Choose Notification Settings from the options available on the left-hand side.

In this section, you can make selections regarding the notifications and emails you wish to receive. You have the option to enable the ones you want and disable those you don't require.

# Access Management (IP- based Restrictions)

IP-based access restrictions ensure that only users connecting from pre-approved IP addresses can access TaskOPad. This feature is essential for preventing unauthorized access and enhancing Security.

**How It Works:**

**Web Access:** Users attempting to log in to TaskOPad via a web browser will be restricted based on the IP addresses configured in the system.&#x20;

**Mobile Access:** Similarly, users accessing TaskOPad through mobile devices will also be restricted by the specified IP addresses.<br>

#### **Setting Up IP-Based Access Restrictions**

&#x20;**Accessing the Admin Dashboard**

1. **Log in to TaskOPad**: Use your administrator credentials to access the TaskOPad Admin Dashboard.
2. **Navigate to Security Settings**: Go to the Organisation Management then 'Settings' menu, then select  'Access Management' and turn on IP Settings.

3. **Select IP Restriction Options**: Find your current IP Address and if you want to change it you can Add IP Address of your own.
4. **Select Team Member for IP Restrictions:** Select the team members who are allowed to access TaskOPad via Web, Mobile, or both platforms. For those marked as "IP Restricted," access will be limited to the specific IP addresses provided above.
